Lapsed Vaccine Revenue Recovery Calculator

Reviewed for 2026, updated September 8, 2026.

Estimates how many overdue vaccine visits a vet clinic could win back with better reminders, and what those visits are worth after software costs.

Your numbers

Your estimate

Visits recovered per year...
Gross revenue recovered per year...
Net annual gain after software cost...
Return on software spend...

Estimates only. Assumptions are listed below, and you can change every input.

Every vaccine due date that passes without a booked visit is a patient drifting out of care and revenue the clinic never sees. Most practices know the problem exists but have never put a dollar figure on it, which makes it hard to justify spending staff time or money on a reminder system.

This calculator multiplies your active patient count by the number of vaccine due dates each pet generates in a year, applies your current lapse rate to find how many of those dates are being missed, then applies the share you believe reminders can recover. It multiplies recovered visits by your average revenue per vaccine visit, subtracts twelve months of software cost, and reports the net gain and return on that spend. Every number is one you entered, so the estimate is only as honest as your inputs.

How to use this tool

  1. Enter your active patient count and how many vaccine due dates a typical pet generates per year at your clinic.
  2. Set your current lapse rate and the share of lapsed due dates you realistically expect reminders to recover.
  3. Add your average revenue per vaccine visit and the monthly cost of the reminder tool, then read the recovered visits, revenue, net gain, and ROI.

What the math assumes

  • Each recovered due date becomes exactly one visit billed at the average revenue you enter; products or extra services are not added.
  • Recovery applies only to due dates that currently lapse; visits already happening on time do not change.
  • The only cost counted is the monthly software fee times 12; staff time and message fees are excluded.
  • Patient count, due dates per pet, and lapse rate are assumed flat across the year.
  • Default values (1,500 pets, 1.5 due dates per pet, 30% lapse rate, 25% recovery, $95 per visit, $79 per month) are placeholders, not industry benchmarks.

Frequently asked questions

How do I find my current vaccine lapse rate?

Pull a report of vaccine due dates from the last 12 months in your practice software and count how many still have no matching visit 60 days after the due date. Divide that by the total due dates to get a percentage.

What is a realistic recovery percentage to enter?

Nobody can promise a number for your clinic, so start conservative and run the calculator twice, once with a low guess and once with a high one. If the net gain is positive even at the low end, the decision is easy.

Why does the calculator ignore products sold at the visit?

It counts only the revenue per visit you enter. If you want to include heartworm prevention or flea products typically sold during vaccine visits, raise the revenue per visit figure to reflect that.

Does this include staff time to send the reminders?

No. The only cost counted is the monthly software fee times 12. If your team sends reminders manually today, use the staff time calculator on this site to see that cost separately.
