Reminder outreach rarely shows up as a line item, because it is spread across front desk staff in small chunks: a few calls between check ins, a batch of texts at the end of the day, postcards stuffed on a slow afternoon. Added together over a month, those minutes become real hours that could go toward the clients standing at the counter.

The calculator takes the number of vaccine due dates you handle in a typical month, multiplies by the number of contact attempts each one gets, then by the minutes each attempt takes, to produce monthly staff hours. It prices those hours at the hourly cost you enter. It then applies the share of attempts an automated system would send on its own, subtracts the software fee, and reports the net annual savings. Setup time and message fees are not included, so treat the result as a labor only view.

How to use this tool

  1. Enter how many vaccine due dates come up in a typical month and how many contact attempts each one receives today.
  2. Set the minutes per attempt and the fully loaded hourly cost of the staff member who handles outreach.
  3. Choose the share of attempts an automated system would take over and its monthly cost, then compare the hours and dollars saved.

What the math assumes

  • Every contact attempt takes the same number of minutes, whether or not the owner answers.
  • Labor is priced at the single hourly rate you enter; no overtime, training, or turnover cost is added.
  • Automation removes staff time in direct proportion to the share of attempts you say it handles.
  • The only automation cost counted is the monthly fee you enter; setup time, message fees, and any minimum contract are excluded.
  • Default values (200 due dates, 2 attempts, 4 minutes, $20 per hour, 90% automated, $79 per month) are placeholders, not measured averages.

Frequently asked questions

What counts as a contact attempt?

Any manual action tied to one due date: a phone call whether or not someone answers, a text typed by hand, an email sent individually, or a postcard addressed and mailed. Enter the average across all due dates, including the ones that need no follow up.

Why is the automation share not 100 percent?

Some owners will still need a human call, for example when a phone number bounces or a pet has a medical exception. Keep a realistic share so the estimate does not overstate savings.

Should I use base wage or a fully loaded rate?

Use the fully loaded rate if you know it, since payroll taxes and benefits are part of what the clinic actually pays for each hour. If you only know base wage, the estimate will be on the low side.

The net savings came out negative. What does that mean?

At your volume, the software costs more per month than the labor it would replace. That can still be worth it for fewer missed visits, but this calculator only measures labor, so look at the revenue recovery calculator for the other half of the picture.
